Global Commercial Operations Coordinator

1.FUNCTIONAL CONTENT 

 

Main Role

 

The Global Commercial Operations Coordinator will support our international commercial team. This role is essential in ensuring seamless execution of key commercial activities, logistical coordination, compliance approvals, and sales operations support. It will work cross-functionally to enhance operational efficiency and contribute to the success of our commercial initiatives.

 

Roles

 

1. Event & Logistics Support

• Assist in planning and executing key commercial events.

• Organize travel arrangements for internal teams when needed.

• Oversee booth setup, logistics, and engagement strategies for industry congresses.

 

2. Compliance & Documentation Management

• Manage compliance approval processes for contracts, agendas, and other documentation.

• Coordinate the completion of quality, regulatory, and compliance forms for customer qualification.

• Oversee the signature process of Confidentiality Agreements (CDAs) using DocuSign.

 

3. Sales Administration & Customer Support

• Provide operational support for sales processes, including customer onboarding.

• Gather and verify necessary legal documentation for customer registration.

• Process and track purchase orders (POs) for compensations and other operational needs.

 

4. Sales Forecasting & Financial Operations

• Request and consolidate 12-month sales forecasts from customers.

• Track incoming orders to align with monthly sales expectations.

• Monitor and follow up on unpaid invoices to ensure timely collection.

 

5. Product & Partner Coordination

• Facilitate the setup of new product SKUs in internal systems.

• Manage internal and external assessments of potential partners via Catalyst.

• Oversee registration and approval processes for new suppliers.

 

6. Tender & Banking Documentation Management

• Collaborate with internal teams to manage and submit tender documentation.

• Manage letters of credit and bank guarantees as required.

 

7. Process Optimization

• Act as the process owner for purchase order (PO) management, ensuring efficiency and compliance.

 

 

2. ORGANIZATION CHART & JOB RELATIONSHIPS

 

- Line Manager: GPA Director

- International & External Relationships:

• Internal: GPA and other related departments

• External: communication agencies, market research agencies, travel agencies, congress organizations, partners etc..)

 

 

3. JOB PROFILE

 

Required Studies:

• Bachelor's degree in Business Administration, Commerce, or a related field.

 

Other specialized knowledge:

• Experience in commercial operations, sales support, or administrative roles within the pharmaceutical or healthcare industry is a plus.

• Familiarity with compliance regulations, financial processes, and customer onboarding.

• Proficiency in Microsoft Office and experience with CRM systems.

 

Languages:

• Fluent English, Spanish

• Other language such as German, Italian or French would be a plus

 

Professional experience:

• Around 3 years in a similar role
