EXECUTIVE ASSISTANT

 

FUNCTIONAL CONTENT 

 

Main Role

 

The Executive Assistant provides high-level administrative and organizational support to assigned Executive Management members, ensuring efficient day-to-day operations and enabling leadership to focus on strategic priorities. This role requires discretion, strong organizational skills, and the ability to operate effectively in a fast-paced, international environment.

 

Main Responsibilities

 

Executive Support

  • Provide comprehensive administrative support to assigned senior executives (e.g., calendar management, meeting coordination, etc).
  • Act as a trusted point of contact between executives and internal/external stakeholders.
  • Prepare agendas, presentations, reports, and briefing materials for meetings as required.
  • Handle confidential information with the highest level of discretion
  • Schedule and organize internal and external meetings, including logistics and materials

 

Organizational & Operational Support

  • Support planning and logistics for executive events, leadership meetings, and offsites.
  • Track action items, deadlines, and priorities to ensure timely execution.
  • Assist with purchase orders, and budget tracking as needed.
  • Identify opportunities to improve administrative processes and workflows.

 

Travel & Expense Coordination

  • Arrange domestic and international travel, accommodations, and itineraries.
  • Manage expense reports and ensure compliance with company policies.

PROFESSIONAL EXPERIENCE

 

  • Minimum 5 years supporting senior executives in a fast-paced environment
  • Proven experience supporting senior leadership in a complex, international organization.
  • Exceptional organizational and time-management skills.
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word)
  • Fluent in Spanish and English (written & spoken)
  • High level of professionalism, integrity, and confidentiality.
  • Strong attention to detail and ability to multitask effectively.
  • Proactive, solution-oriented mindset with strong problem-solving skills.
  • Ability to work independently and collaboratively across cultures and time zones.
